📛 A QUICK NOTE ABOUT SMOOTHCOMP AND HOW WE RUN OUR TOURNAMENT 📛
Tap Cancer Out is and always will be a very unique tournament. The fact that we are a fundraising / charity tournament at heart means we use GoFundMe Pro as our registration software in order to arm all our competitors with powerful fundraising pages to make the MOST impact.
That means we do not / can not use Smoothcomp as our registration platform. Our event is listed on there because 1) It is a massive tournament search engine, so we want people to find our event and 2) We still use Smoothcomp to manage all of our brackets and results.
Please allow us to answer some of those questions now to help you better understand exactly how we run our tournament (so efficiently) and why we must do things differently (in order to stay on-time and on-schedule without DQ-ing anyone).
WHAT DO I WITH THIS SMOOTHCOMP EMAIL? (or) I DIDN'T GET A SMOOTHCOMP EMAIL!
(1) IF YOU HAVE RECEIVED AN EMAIL INVITE FROM SMOOTHCOMP "TO CONNECT" ... this means that we have uploaded the competitor list into Smoothcomp and it HAS found an account linked to your email address. In this case YOU MUST ACCEPT the invitation to connect. This will properly link your account to our event.
(2) EVEN IF YOU DON'T SEE AN EMAIL FROM SMOOTHCOMP (do check your Spam), you'll still receive an alert in your Smoothcomp account only when logged into a computer/laptop specifically—NOT your app.
TWO IMPORTANT THINGS:
This can ONLY be done on a Desktop / Laptop computer in a browser - this CAN NOT be done in the Smoothcomp Mobile App!!
Please make sure ALL COMPETITORS that you have registered have a profile set up (you can learn how to add another profile here). If the competitor name we provided doesn't match the account name the brackets will reflect to the primary account holder's name -- this is how we have Mom or Dad's name showing up in the 4-5 year old bracket instead of their child.
IT SAYS THAT I AM "NOT AUTHORIZED TO VIEW THIS ACCOUNT"
THIS CAN HAPPEN FOR A FEW REASONS. One reason that may happen is when our event is set to PRIVATE in order for us to manage things in the back-end (ex: marking people as paid, manually approving academies, fixing incorrect information). By accepting the permission notification your account should still sync even if you see this authorization message. We only set it to private very briefly while we tend to these things, most often right after we upload the competitors (and the automated email from Smoothcomp to accept permissions is sent).
Another reason is that you're logged into the incorrect account (this often happens when you click on the permissions EMAIL specifically) OR if you are accepting permissions for a profile that has not yet been set up (ex: you have an account but haven't set up a profile for your child).
WHERE/HOW CAN I SEE MY BRACKET?
YOU CANNOT LOOK AT THE BRACKETS ON SMOOTHCOMP PRIOR TO THE EVENT! Please don't ask to see your brackets or where you can find them in advance. Do understand that a "Bracket" is defined as the layout of matches where you can see your initial opponent, who has a bye, etc.
You CAN see the competitor list, including those competitors registered in your division, posted on the respective tournament website (posted no later than a week before the tournament, sometimes earlier). Do not treat these as gospel, however, as they're static and we will end up moving dozens (if not hundreds) of competitors on the day of the tournament as they miss weight.
The brackets will become public as they are ASSIGNED TO A RING on the day of the event. Only at that time will you be able to see it on your Smoothcomp account/app, and at that point we'll be calling you to the ring queue to get checked in and brought to your ring.
WHAT RING WILL I BE ON?
YOU WILL NOT KNOW WHAT RING YOU ARE FIGHTING AT UNTIL WE ANNOUNCE THE LAUNCHING OF YOUR DIVISION ON THE MICROPHONE.
We wait until we have everyone checked-in, weighed-in, and accounted for before we actually click the "CREATE BRACKET" button on Smoothcomp. Then the bracket is immediately printed and put in a queue, waiting for a free ring to open up. As soon as that ring opens up we hand it to the Ring Coordinator and announce it over the PA System.
If you don't report, we'll make a few more announcements specifically calling you to the ring. The only way you'll miss your division is if you're not in the building or blaring your music through your headphones. If you're ever concerned that you or your child/student was called to a ring and you didn't hear which one, you can always ask us and we'll look them up. If they have been called to a ring, we can tell you which one. If they haven't, they just need to hang out near the mat area.
WHEN SHOULD I ARRIVE?
AS LONG AS YOU ARRIVE 90 MINUTES OR MORE BEFORE YOUR DIVISION IS SCHEDULED, AND YOU ARE IN/NEAR THE MAT AREA, YOU WILL NOT MISS YOUR DIVISION.
The schedule is emailed to all competitors and posted on the tournament website. So if you're receiving this email, you should have already received at least one email if not more that includes the schedule.
Each schedule includes a DQ time, which is the LATEST you can arrive. I'd suggest arriving well before that if possible. Parking at some of our venues can be tight and you may need to walk a bit to get inside. Additionally, depending on when you arrive, check-in lines may be long as well. So give yourself PLENTY of time to park, check-in, and get yourself weighed-in.
