WHO WE ARE LOOKING FOR
This role is made for the individual who thrives in a live setting, leading large-scale competitive Brazilian Jiu-Jitsu events full of action and impact. The Tournament Director must have proven experience hosting sporting events in a variety of roles across event planning and logistics, set-up / breakdown, front end (competitor registration/check-in), bracketing management, and division deployment and more. They’ll also have experience dealing with customers on a one-on-one (face-to-face) basis as well as leading and training large teams of staff and volunteers.
Previous experience working and/or volunteering at BJJ events, specifically Tap Cancer Out events, is an advantage.
A major part of our small yet agile team, you don’t need anyone leaning over your shoulder. You’ll have a proven ability to work independently and proactively in both the planning and execution of our live events. Our Tournament Director will work at our Indian Land, SC office and must be in-office at least 3 days a week, 8-hours per day. The other two days may be remote. This position will require traveling approximately 20 weekends a year to host and/or attend events.
WHAT YOU WILL DO
PRE-EVENT
- Full logistical support for our ~20 Tap Cancer Out BJJ Open tournaments
- Serve as primary liaison with our event venues, managing contracts, budgets and payments.
- Manages budgets and payments for each location.
- Oversees volunteer outreach and recruitment and staffing plan.
- Coordinates Tap Cancer Out staff travel and lodging.
- Manage inventory and work with printing vendors to ship necessary merchandise to event locations.
EVENT
- Travel into event market one day prior to event for load-in and set-up
- Top-notch customer service, treating every person who walks through our doors with a smile and eagerness to help.
- Point-of-contact for event logistics, venue requirements and vendors.
- Point-of-contact for all volunteers, managing their roles throughout the day.
- Ability to fill any role required to run the tournaments including competitor registration, weigh-ins, scoreboard, ring coordinator, merchandise, etc. (employee will be fully trained on each aspect)
- We are leaning on you to be the last line of defense whenever issues arise at events
OUTSIDE OF EVENTS
- Continuously planning for future events, finding and booking new venues when necessary.
- Quick and efficient response to customer emails and requests through our customer service platform (Reamaze)
- Deep knowledge of Classy.org (our fundraising platform) to set up event pages, pull custom reports, manage transactions, and more.
- Supporting the TCO team with ongoing initiatives.
What You Will Need in Order to Be Successful:
- Understanding that this role requires frequent travel to each of our events (approx. 18-20 events per year, mainly on weekends, plus travel to special events).
- At least three years of experience working in essential roles at live events (preferably Brazilian Jiu-Jitsu) with a proven track record of success.
- Experience with non-profits, fundraising, and volunteering.
- Must be able to lift at least 50lbs if necessary.
- Excellent leadership skills with a proven ability to find solutions to unexpected issues in high-stress situations.
- Attention to detail and ability to meet deadlines and multi-task.
- Ability to work independently and as part of a team.
- Not afraid to pitch ideas for new ways of working at our events to test and learn (it’s okay if it doesn’t work – at least we tried!) with an ability to receive and implement feedback
- Moves quickly but strives for quality, paying attention to the small stuff
What it Means to Be a Part of the TCO Team:
- You must be able to work with a diverse and experienced team including (but not limited to) our event staff, volunteers, medical staff and more.
- You’ll team up with our Event Manager to cover all the bases for our tournaments
- You’ll report to the Executive Director
Do I Need to Train Brazilian Jiu-Jitsu?
Some but not all TCO employees train BJJ. While experience training BJJ is not a prior requirement of this role, it is helpful in the same way previous experience and training in your area of expertise is helpful. Being able to “talk the talk” and train with others in conjunction with content creation can help create more compelling content and a stronger narrative.
